MINS Technologies, Inc. (est. 2006) is a global distributor and service provider of marine satellite communications systems, components, and spare parts. We are a small business looking to fill a vacancy for the role of Project Manager / Office Manager.

Workplace location: Nanoose Bay, BC
This role has the following requirements and responsibilities:
Requirements:

• Proven office management, administrative or assistant experience.
• Excellent time management skills and ability to multi-task and prioritise work.
• Attention to detail and problem-solving skills.
• Excellent written and verbal communication skills.
• Proficient in MS Office and general computer literacy.
• Basic knowledge of accounting, data, and administrative management procedures.

o Additional languages (Russian or Hebrew) an asset.
o Knowledge in the marine satellite communications industry an asset.
o Experience in international trade & logistics an asset.
o Experience working in a small business environment an asset.

Responsibilities:

• Point person for mailing, shipping, procurement, and errands.
• Point person for customer correspondence including billing, enquiries & logistics.
• Manage relationships with vendors & service providers, ensuring that all items are invoiced and paid on time.
• Manage quotes & invoicing - ensuring that all items are invoiced and paid on time, following up if needed.
• Utilizing MS office to create documents and reports.
• Organize office operations and procedures.
• Responsible for managing office services by ensuring office operations and procedures are organized.
• Ensure security, integrity, and confidentiality of data.
• Monitor and maintain office supplies inventory.
• Maintain a safe and secure working environment.
• Ensure filing systems are maintained and current, establish and monitor procedures for record keeping.
• Manage key company projects and orders by keeping track and reviewing regularly.
• Allocate tasks and assignments to subordinates and monitor their performance.
• Perform review and analysis of special projects and keep the manager properly informed.
• Responsible for developing and promoting activities that enhance operational procedures.
• Allocate available resources to enable successful task performance.
• Work closely with general manager to fulfil project needs on time.
• Acting as general manager and managing the team of employees in the manager’s absence.
