JOB #1: Nominee Plans Administrator

This position is responsible for processing and reconciling all specialized products for CAM. The position liaises with various departments in the organization as well as CUCBC and a number of credit union partners maintaining a high level of customer service at all times. This involves handling inquiries from sales representatives and internal departments to resolve issues. An important function of the Nominee Plans Administrator is to accurately reconcile the stock and bond account as well as collateral accounts within service guidelines

Expected Contributions:
· Daily processing of all specialized products including, but not limited to: stock and bond sell, buy and swap orders and dividend payouts, Group RRSP transaction review, GIC early payout and interest payment requests. Processing T2033 transfer out requests for GIC products, Credit Union equity shares including the coordination of periodic dividend payments
· Maintain the current U.S. exchange
· Weekly loading of stock and bond prices on the operating system including the valuation of Limited Partnership investments
· Timely completion of all adjustment requests relating to specialized products
· Immediate review of all Canadian Depository Services (CDS) Bulletins, contacting the appropriate client and sales rep and instructing CDS via Credit Union Central of BC of client instruction
· Monthly reconciliation & resolution of stock and bond account
· Annual audit of collateral accounts
· Monthly audit of unqualified investments including the processing of fines where applicable
· Remains current with industry standards pertaining to securities by utilizing industry websites such as TSE.com
· Provides feedback pertaining to Univeris enhancements and recommends new development features for efficient product processing
· Identifies the missing fund prices and updates Univeris monthly
· Distribute quarterly statements of collateral accounts for our credit union participants
· Weekly, provide a full proxy list to CUBC for the purpose of receiving the appropriate CDS bulletins
· Receive and manage all return mail for CAM statements
· Ensures current policies and procedures are recorded in corresponding operational and sales rep manuals
· Recommends changes to existing policies and procedures

Experience & Qualifications Required:
· Minimum 3 years experience in an administrative capacity preferably in the mutual funds or securities industry
· Possess a solid understanding of self-directed plan administration
· Previous experience in coaching/training capacity is an asset
· Experience within the Credit Union System is an asset
· Excellent written and verbal communication skills
· Exceptional interpersonal skills, including the ability to lead and coach others
· Extremely detail oriented and accurate
· Ability to work independently in a team environment
· Highly motivated and results driven
· Excellent problem solving skills

JOB #2 - Trainer

This position is primarily responsible for delivering dynamic sales training programs for partners of credential Financial and The Ethical Funds Company. The incumbent will design, develop, deliver, evaluate, update and maintain sales and other training programs in the areas of systems & procedures; and regulation, etc. This position involves liaising and fostering relationships with our client businesses across the country, in coordination with Sales Teams.

Expected Contributions:

JOB #3 - Registered Plans Administrator

The Registered Plans Administrator will be responsible for a number of duties relating to Registered products, including the maintenance, processing, monitoring of investment instructions/transactions and the general auditing of registered nominee plan accounts. The position entails daily interaction with Credit Union staff, Correspondent Dealer, Mutual Fund Company Representatives and Internal departmental staff, providing both processing and administrative support.


Expected Contributions:
· Coordinates activities and executes processing, administration and reporting for assigned accounts; may include accounts in RRSP, RRIF, RESP, Group RSP, locked-in; investments may include mutual funds, fixed income (GIC) and CDS eligible securities.
· Monitors, approves and processes client withdrawals (non-registered, RRSP, RRIF, Home Buyers, Life Long Learning), including administration of applicable withholding tax, fees and issuing payments via cheques or EFT
· Receives, reviews and processes new account setup documentation for locked in plans and RRIF
· Assists with audit and projects relating to Registered Products and ancillary products
· Reviews related documentation to ensure they meet both company and government policy and legal requirements
· Research and promptly resolve any errors or discrepancies for registered plan activity
· Handles inquiries and correspondence from Customer Service, Credential Asset Management and Credential Securities Administration regarding all general activities and procedures of the Registered Product offered
· Handles inquiries and correspondence from Mutual Fund Companies, Financial Dealers and Credit Unions concerning all general activities and procedures of the Registered Products offered

Experience & Qualifications Required:
· 3 years experience in an administrative capacity, preferably in the Mutual Fund or Financial Securities Industry
· Background in Registered Products and applicable legislation experience is required
· MPS knowledge and experience and a background in the Credit Union System is an asset
· Excellent Verbal and written communication and interpersonal skills

JOB #4 - Registration Administrator

This position is responsible for maintaining current and accurate Credential Asset Management (CAM) and National Registration database of all CAM registrants and administration officers in compliance with all regulatory requirements and for working in conjunction with the Provincial Compliance Officers in all aspects of registration for CAM Head Office staff. In addition, this position will be involved in special projects in coordination with other departments within the company in order to enhance and improve upon client service and achievement of overall corporate objectives.

Expected Contributions:
· Maintain current and accurate CAM and National Registration database
· Review, process and file the registration forms and related materials for CAM salespersons, branch managers, officers, directors, branches and sub-branches
· Coordinate the flow of information between the Regional Offices and Back Office
· Process new Errors & Omissions (E&O) levels and changes in E&O Insurance coverage, as applicable. Maintain the E&O Master List and supporting Amendments. Coordinate with the E&O Administration Officer for filing of E&O Application forms.
· Assist in the development of an automated registration system. Assist in the research and documentation of the new workflows for the Compliance Licensing and Registration System
· Liaise and respond to inquiries and requests with the Provincial Compliance Officers, Branch Compliance Managers, Head Office Staff, and Credit Unions on registration and related matters
· Conduct relevant research as required and provide resolutions for any outstanding registration issues and deficiencies, to obtain information and materials related to registrations to ensure compliance with regulatory requirements
· Provide assistance and feedback to the Supervisor with the delivery of registration policies and procedures and with forms and document templates which affect CAM regulations
· Stay current on regulatory registration requirements and legislative changes relevant to the position as communicated out by the dealer
· Ensure the registration filing system is orderly and complete; ensure documentation filing system is organized and accessible
· Coordinate the ordering of Branch Starter Kits
· Prepare monthly breakdown, Proficiency and Statistics reports for dissemination to various other departments
· Assist in reconciling, monthly and annually, NRD accounts and fees for both CAM and CSI
· Assist the Supervisor in the annual dealer and registration renewals, and assist the E&O Administration Officer in the renewal processes

Experience & Qualifications Required:

The Mutual Fund Processing Analyst is responsible for the data integrity of the dealer back office database. Duties include data scrubbing and manipulation, exception reporting, problem resolution, and user acceptance testing. In addition, this position will be a resource for the department for data related issues.

Expected Contributions:
· Identify deficiencies in database data integrity, recommending and implementing solutions
· Liaise with Quality Assurance on data integrity issues that need to be addressed by the system vendor
· Develop and analyze queries and reports to identify data discrepancies
· Identifies data integrity trends and recommends procedure changes to prevent recurrence
· Reconciliation of daily sequencing exceptions
· Create manual mutual fund confirmations
· Reconciliation of month-end account reconciliation files
· Follow up and research of exception items with fund company and/or back office staff
· Provide technical assistance to staff on electronic processes, procedures and research
· Provide reporting support to the back office for internal and external customers
· Develop and implement test scripts for user acceptance testing

Experience & Qualifications Required:
· Minimum 3 years of experience in an administrative or data integrity capacity, preferably in the mutual funds and/or securities industry
· 3 years of professional experience or 3 years work experience at Credential with a strong interest in working in a mutual fund operations processing environment
· Business and technical understanding of Broker/Dealer Operation
· Technical understanding of the electronic data standards (ESG) as they pertain to the mutual fund industry
· Experience with development tools including Access, Excel, text editors and SQL. Knowledge of relational database design, data manipulation and database reporting is required

This position is responsible for developing and delivering training programs for Client Service Officers (CSOs), monitoring and assessing call quality to ensure the achievement of call quality service level targets are met. Overseeing staff development and on-going training programs, the incumbent will be responsible for identifying and implementing learning activities and cross-training opportunities for CSOs. Working closely with the Client Relations Supervisors to improve the overall level of service and accuracy of information provided by the department, the incumbent will be required to learn all of Credential’s business lines.

Expected Contributions:
· Develop and deliver training programs for client Services Officers across all service queues
· Collaborate closely with Client Relation Supervisors, Information Officer, Management, and Credential departments to assess and respond to CSO training needs; facilitate and coordinate group and individual sessions; gather data from assessments and call reviews; track, measure and report training outcomes
· Create and manage on-going testing and training seminars to ensure that CSOs are fully versed on all of our policy and procedures
· Revise and update all training material and training manuals and implement changes into programs on a timely basis
· Ensure that knowledge, proficiency and customer service standards are met within the department by continually reviewing CSO calls; coach staff on difficult customer service issues; identify learning needs and assist in delivering monthly call review sessions in conjunction with the Client Relations Supervisors
· Identify and monitor call quality and develop specific training tools to improve the overall call quality of the department and to ensure that call quality metrics meet or exceed industry standards
· Maintain thorough knowledge of government legislative and Self Regulating Organizations (i.e. MFDA) changes as they relate to Credential Financial’s policies and procedures, and systems across all business lines

Experience & Qualifications Required:
· Minimum of 2 years experience in customer service or back office operations, preferably in a supervisory or training role within the mutual fund, brokerage or securities industry
· Experience in and knowledge of the mutual fund industry, securities operations, products and services
· Knowledge of relevant training programs, training and education principles and techniques, concepts and methods of skill-based learning is preferable
· Excellent verbal and written communication skills
· Excellent training skills and disposition for work involving the direction, control and planning activities for others
· Strong interpersonal skills; able to work well with people and influence their decisions, attitudes and judgments
